Voice-to-Invoice

Privacy PolicyTerms of UseSupport

This Privacy Policy applies to the Voice-to-Invoice iPhone and iPad application (the “App”), operated by Data Visual Solutions, LLC (“we,” “us,” or “our”). It explains our practices worldwide. Local law may provide additional rights.

1. Information the App handles

Information you enter

The App handles information you choose to enter or create, including customer names and contact details, job descriptions and notes, invoice line items, rates, amounts, payment status, and other business records.

Voice input and transcripts

When you use voice input, the App records audio temporarily for speech recognition. Speech recognition is configured to run on your device. After recognition, the App uses transcript text—not the raw recorded audio—for invoice parsing. Raw recorded audio is not sent to OpenAI.

Contacts

If you grant permission, you may import selected information from Apple Contacts. Contacts access is optional. The App uses imported information to help create or update customer records; it does not require access to your contacts to function.

Purchases

Purchases and subscriptions, if offered, are processed directly by Apple using StoreKit 2. We do not use RevenueCat. Apple controls payment processing and may provide us with transaction status, product, entitlement, and validation information rather than your complete payment-card details.

App Store subscription verification

Starting with version 1.1 build 12, you do not need to register or sign in to a Data Visual Solutions account to purchase or restore Pro. Apple handles purchase authorization through the App Store. To verify Pro access, the App sends Apple-signed purchase and app-transaction information and a device-verification identifier to our Cloudflare API. The service checks these proofs and subscription status with Apple. This information can include transaction identifiers, an app-specific Apple Account identifier, product and subscription status, and device-binding information. We do not receive your Apple Account password or complete payment-card details.

Earlier builds used Sign in with Apple to link subscriptions through a pseudonymous identifier and a time-limited, App Attest key-bound authentication session. Build 12 no longer uses that flow and removes the obsolete authentication session stored on the device. The service may continue to validate legacy sessions sent by older supported builds.

App integrity, usage, and network information

Our online service processes App Attest keys and assertions, one-time challenges, assertion counters, subscription proof data, AI-request usage counters, reservation identifiers, request timing, and standard network information such as IP address and user agent. We use this information to authenticate genuine App instances, prevent replay and abuse, enforce the free monthly AI-request allowance, validate Pro access, operate the service, and diagnose failures. App Attest registration and usage records are associated with a registered app installation. Manual invoice creation does not use the AI-request allowance.

Support communications

If you contact support, we receive the information you choose to include, such as your email address, device and operating-system details, App version, error messages, and troubleshooting description. Do not send customer records, raw recordings, passwords, API keys, or payment-card information.

2. How information is used

We use information to provide the App’s functions, including creating and managing customer, job, and invoice records; transcribing voice input on device; parsing transcript text into invoice fields; synchronizing records through iCloud when enabled; authenticating App integrity; enforcing usage limits; processing purchase entitlements; responding to support requests; protecting the service; and complying with law. We do not use App data for third-party advertising or cross-company tracking.

3. Invoice parsing and service providers

AI invoice processing is optional. Before sending your transcript for AI processing, the App asks for your permission and identifies our Cloudflare-hosted service and OpenAI. The transcript you review may contain customer names, contact details, job descriptions, notes, rates, and amounts you include.

If you choose “Allow AI Processing,” the App sends that transcript text to Data Visual Solutions’ service hosted by Cloudflare, which forwards the transcript to OpenAI to produce structured invoice fields. Our service also processes app-integrity and subscription-verification information as described above; those proofs are not included in the OpenAI invoice-parsing request. Speech recognition runs on your device, and raw recorded audio is not sent to our invoice-parsing service or OpenAI.

If you choose “Use Manual Entry,” the App does not submit an AI parsing request. It preserves the transcript as notes in the manual invoice editor, where you enter and review the invoice details yourself. Declining AI processing does not prevent manual invoice creation, customer management, or PDF export.

Your AI permission choice is stored on your device and applies to subsequent AI requests until you turn it off or the App requires renewed permission for a changed disclosure. Microphone access, speech-recognition access, and a subscription purchase are not substitutes for this AI permission. Do not include sensitive information that is unnecessary for an invoice.

  • Cloudflare. Cloudflare processes data passing through the Worker to provide its services under its applicable terms. Cloudflare’s Data Processing Addendum describes customer content as data routed to, passed through, processed, or cached on its network and states that Cloudflare acts as a processor for covered personal data. Cloudflare’s general privacy materials do not provide a single Workers-specific retention period. See the Cloudflare Data Processing Addendum and Cloudflare Privacy Policy.
  • OpenAI. Our API request is configured with store: false. OpenAI states that API inputs and outputs are not used to train or improve its models unless the API customer explicitly opts in. Data sharing for training and improvement is disabled for our API use. OpenAI may retain API data in abuse-monitoring logs, generally for up to 30 days by default, with stated legal and safety exceptions. We do not claim zero retention. See OpenAI’s API data controls and OpenAI’s Business Terms.

4. Storage and synchronization

The App stores its business records locally using SwiftData. If you enable iCloud for the App, Apple’s private iCloud/CloudKit services synchronize eligible app records among devices signed in to your Apple Account. Data in a private CloudKit database is associated with your Apple Account and is subject to Apple’s terms and privacy practices. Build 12 and later do not require a separate app account for purchases or restoration. Optional iCloud synchronization is separate from purchasing or restoring Pro.

5. Sharing

We disclose information only as needed to operate the App, including to Apple for app distribution, App Attest, purchases, subscription validation, optional iCloud synchronization, and legacy Sign in with Apple processing in older supported builds; to Cloudflare for API delivery, integrity checks, usage-limit enforcement, and service storage; to OpenAI for invoice parsing; when you direct an export or other sharing action; or when reasonably necessary to comply with law, protect rights and safety, or address fraud and abuse. We do not sell personal information or share it for cross-context behavioral advertising.

Third-party service providers with whom we share personal information are required to provide the same or equal protection of that information as described in this Privacy Policy and required by Apple’s App Review Guidelines. We use applicable service agreements and data-processing terms addressing permitted use, confidentiality, security, and subprocessors to establish these protections. Provider-specific retention and legally required processing remain subject to the disclosures in this policy and the linked provider terms; this statement is not a promise of zero retention.

6. Retention and deletion

Business records remain in local SwiftData and, when synchronization is enabled, private CloudKit until you delete them, use the App’s Delete Business Data function, or otherwise remove them, subject to synchronization behavior and provider retention. Delete Business Data removes app-managed clients, invoices, line items, and the contractor profile. It does not remove language and other app preferences, App Attest security registration, or server-side records, and it does not cancel an Apple subscription. Build 12 removes the obsolete local app-authentication session separately when it starts. Server-side App Attest registration, security counters, monthly usage totals, and subscription-validation records may remain for as long as reasonably needed to secure and operate the service, enforce limits, resolve disputes, or comply with law.

When iCloud synchronization is enabled, deletion requests are submitted for synchronization to CloudKit and other connected devices. Synchronization may not be immediate, can depend on connectivity and Apple services, and should not be understood as an assurance that every backup or disaster-recovery copy is instantly purged. Apple advises developers to provide in-app options for deleting CloudKit data; see Apple’s CloudKit data-management guidance.

Removing the App from a device does not by itself guarantee deletion of synchronized iCloud/CloudKit records. Information included in a support email may remain in our Microsoft 365 shared mailbox and related records as reasonably needed to respond, maintain records, resolve disputes, secure the service, or comply with law.

7. Security

We use reasonable administrative, technical, and organizational measures appropriate to the App and the information it handles. No storage or transmission method is perfectly secure, and we cannot guarantee absolute security.

8. Your choices

  • Decline or revoke Contacts permission in iOS or iPadOS Settings.
  • Choose whether to allow AI invoice processing when the App presents its disclosure. You may choose manual entry instead.
  • Turn off AI processing in Settings → Data & Privacy → AI Processing. Turning it off blocks future AI parsing requests; turning it on presents the disclosure again. Withdrawal does not recall data already sent, immediately delete provider-retained data, or cancel a subscription. Manual invoice creation, customer management, and PDF export remain available.
  • Review and edit transcript and invoice details before saving or using them.
  • Manage iCloud access for the App through your Apple device settings.
  • Delete individual records or use Delete Business Data in the App.
  • Email us about access, correction, deletion, objection, restriction, portability, withdrawal of consent, or other privacy rights that may apply where you live.

9. Children

The App is intended for contractors and other business users, not children. We do not knowingly design the App to collect personal information from children.

10. International processing

Data Visual Solutions, LLC is based in the United States. Apple, Cloudflare, OpenAI, Microsoft, and their subprocessors may process information in countries other than yours, including the United States. Where required, we rely on provider contractual safeguards or other lawful transfer mechanisms. By using the App, you understand that privacy protections and government-access rules may differ from those in your country.

11. Changes

We may update this policy to reflect changes to the App, providers, or law. We will revise the “Last updated” date and provide additional notice when required.

12. Contact

Questions and privacy requests may be sent to support@datavisualsolutions.com or mailed to Data Visual Solutions, LLC, 11219 Longbrooke Dr, Riverview, FL 33579, USA. We may need information reasonably necessary to understand and verify a request. You may also have the right to complain to your local data-protection authority.
