This Privacy Policy applies to the Voice-to-Invoice iPhone and iPad application (the “App”), operated by Data Visual Solutions, LLC (“we,” “us,” or “our”). It explains our practices worldwide. Local law may provide additional rights.
1. Information the App handles
Information you enter
The App handles information you choose to enter or create, including customer names and contact details, job descriptions and notes, invoice line items, rates, amounts, payment status, and other business records.
Voice input and transcripts
When you use voice input, the App records audio temporarily for speech recognition. Speech recognition is configured to run on your device. After recognition, the App uses transcript text—not the raw recorded audio—for invoice parsing. Raw recorded audio is not sent to OpenAI.
Contacts
If you grant permission, you may import selected information from Apple Contacts. Contacts access is optional. The App uses imported information to help create or update customer records; it does not require access to your contacts to function.
Purchases
Purchases and subscriptions, if offered, are processed directly by Apple using StoreKit 2. We do not use RevenueCat. Apple controls payment processing and may provide us with transaction status, product, entitlement, and validation information rather than your complete payment-card details.
Sign in with Apple and subscription identifiers
If you sign in with Apple to link a Pro subscription, Apple provides a pseudonymous account identifier and signed authentication information. We use them to issue a time-limited, App Attest key-bound session and derive a stable app account token used to validate subscription ownership. We do not receive your Apple Account password. Apple may provide your name or email only when you authorize Apple to share it; the App does not require those fields for subscription validation.
App integrity, usage, and network information
Our online service processes App Attest keys and assertions, one-time challenges, assertion counters, subscription proof data, invoice-usage counters, reservation identifiers, request timing, and standard network information such as IP address and user agent. We use this information to authenticate genuine App instances, prevent replay and abuse, enforce the free monthly invoice limit, validate Pro access, operate the service, and diagnose failures.
Support communications
If you contact support, we receive the information you choose to include, such as your email address, device and operating-system details, App version, error messages, and troubleshooting description. Do not send customer records, raw recordings, passwords, API keys, or payment-card information.
2. How information is used
We use information to provide the App’s functions, including creating and managing customer, job, and invoice records; transcribing voice input on device; parsing transcript text into invoice fields; synchronizing records through iCloud when enabled; authenticating App integrity; enforcing usage limits; processing purchase entitlements; responding to support requests; protecting the service; and complying with law. We do not use App data for third-party advertising or cross-company tracking.
3. Invoice parsing and service providers
To parse an invoice, the App sends transcript text through a Data Visual Solutions Cloudflare Worker to OpenAI. Do not include sensitive information that is unnecessary for an invoice.
- Cloudflare. Cloudflare processes data passing through the Worker to provide its services under its applicable terms. Cloudflare’s Data Processing Addendum describes customer content as data routed to, passed through, processed, or cached on its network and states that Cloudflare acts as a processor for covered personal data. Cloudflare’s general privacy materials do not provide a single Workers-specific retention period. See the Cloudflare Data Processing Addendum and Cloudflare Privacy Policy.
- OpenAI. Our API request is configured with
store: false. OpenAI states that API inputs and outputs are not used to train or improve its models unless the API customer explicitly opts in. Data sharing for training and improvement is disabled for our API use. OpenAI may retain API data in abuse-monitoring logs, generally for up to 30 days by default, with stated legal and safety exceptions. We do not claim zero retention. 4. Storage and synchronization
The App stores its business records locally using SwiftData. If you enable iCloud for the App, Apple’s private iCloud/CloudKit services synchronize eligible app records among devices signed in to your Apple Account. Data in a private CloudKit database is associated with your Apple Account and is subject to Apple’s terms and privacy practices. The App does not create a conventional Data Visual Solutions username-and-password account. A Sign in with Apple session is used only to bind and validate Pro subscription access.
5. Sharing
We disclose information only as needed to operate the App, including to Apple for app distribution, Sign in with Apple, App Attest, purchases, subscription validation, and optional iCloud synchronization; to Cloudflare for API delivery, integrity checks, usage-limit enforcement, and service storage; to OpenAI for invoice parsing; when you direct an export or other sharing action; or when reasonably necessary to comply with law, protect rights and safety, or address fraud and abuse. We do not sell personal information or share it for cross-context behavioral advertising.
We require service providers that process personal information for us to protect it consistently with their contractual obligations and applicable law. Their own privacy materials and service terms also apply to their processing.
6. Retention and deletion
Business records remain in local SwiftData and, when synchronization is enabled, private CloudKit until you delete them, use the App’s Delete Business Data function, or otherwise remove them, subject to synchronization behavior and provider retention. Delete Business Data removes app-managed clients, invoices, line items, and the contractor profile. It does not remove language and other app preferences, App Attest security registration, the Apple-linked subscription session, or server-side records. Server-side App Attest registration, security counters, monthly usage totals, and subscription-validation records may remain for as long as reasonably needed to secure and operate the service, enforce limits, resolve disputes, or comply with law.
When iCloud synchronization is enabled, deletion requests are submitted for synchronization to CloudKit and other connected devices. Synchronization may not be immediate, can depend on connectivity and Apple services, and should not be understood as an assurance that every backup or disaster-recovery copy is instantly purged. Apple advises developers to provide in-app options for deleting CloudKit data; see Apple’s CloudKit data-management guidance.
Removing the App from a device does not by itself guarantee deletion of synchronized iCloud/CloudKit records. Information included in a support email may remain in our Microsoft 365 shared mailbox and related records as reasonably needed to respond, maintain records, resolve disputes, secure the service, or comply with law.
7. Security
We use reasonable administrative, technical, and organizational measures appropriate to the App and the information it handles. No storage or transmission method is perfectly secure, and we cannot guarantee absolute security.
8. Your choices
- Decline or revoke Contacts permission in iOS or iPadOS Settings.
- Review and edit transcript and invoice details before saving or using them.
- Manage iCloud access for the App through your Apple device settings.
- Delete individual records or use Delete Business Data in the App.
- Email us about access, correction, deletion, objection, restriction, portability, withdrawal of consent, or other privacy rights that may apply where you live.
9. Children
The App is intended for contractors and other business users, not children. We do not knowingly design the App to collect personal information from children.
10. International processing
Data Visual Solutions, LLC is based in the United States. Apple, Cloudflare, OpenAI, Microsoft, and their subprocessors may process information in countries other than yours, including the United States. Where required, we rely on provider contractual safeguards or other lawful transfer mechanisms. By using the App, you understand that privacy protections and government-access rules may differ from those in your country.
11. Changes
We may update this policy to reflect changes to the App, providers, or law. We will revise the “Last updated” date and provide additional notice when required.
